Blue Sage Tax & Accounting

Accounting for Education & Training

Education businesses collect payment before delivering, which makes deferred revenue the central accounting question — money received for a course not yet taught is a liability, not income. Sales tax on digital courses varies by state. Blue Sage handles the revenue treatment, the multi-state exposure, and the returns.

What we handle

  • Deferred revenue and enrolment accounting
  • Sales tax analysis for digital courses and training by state
  • Instructor and tutor classification review
  • Multi-state nexus for online course sales
  • Entity structure, including exempt organization considerations
  • Monthly bookkeeping with cohort or program reporting

Who this is for

Tutoring businesses, corporate training companies, online course creators, test preparation providers, and educational organizations.

Recognising course revenue when it is collected rather than as it is delivered is the most common error here. It overstates income in the year of the launch and understates it in the year the teaching actually happens, which distorts both years and any decision made from them.

Deadlines and rules worth knowing

Key points worth knowing.
Item What applies
Deferred revenue Payment for a course not yet delivered is a liability until the teaching happens
Digital course sales tax Treatment of digital goods and online education varies significantly by state
Instructors Classification as employee or contractor turns on control over how and when the teaching is done
Multi-state Online course sales can create economic nexus in states where students are located
Exempt status Some educational organizations qualify for exemption. That is a separate question from the entity form.

How we work

  1. Review what exists

We read last year’s return and whatever records you have. Most of what needs fixing is visible quickly.

  2. Fixed quote in writing

Scope and price before anything starts, counting entities, states, and any cleanup needed.

  3. File and maintain

Returns prepared and filed, notices answered, and a projection before year end.

Questions

When is course revenue recognised?

As the course is delivered, not when payment is collected. Money received for teaching that has not yet happened is deferred revenue, a liability on the balance sheet. Recognising it early overstates income in the launch year and understates it in the delivery year, distorting both.

Do I charge sales tax on an online course?

It depends on the state. Some tax digital products and online education, some exempt them, and some distinguish between live instruction and recorded content. Because students can be anywhere, this needs reviewing against the states where you have economic nexus rather than only your home state.
